OBI Finance Dashboards
The following OBI Dashboard updates have been completed during spring term:
GL Funds Available
- Added a column for Posted Date to the transaction display – this column is included in the CSV export, and can also be “included” in the dashboard screen view (see OBI Tip below).
GL Transaction Export
- Added a column for Posted Date to the dashboard – this column is included in the CSV export, and can also be “included” in the dashboard screen view (see OBI Tip below).
Balance Sheet
The primary Financial Reporting and Board Reporting view of the Balance Sheet now provides drilldown selections to see various summaries of the object codes:
- Object Summary W Cost Center (3 segment: Entity-Source-Org)
- Object Summary W Cost Center W Actv (4 segments: Entity-Source-Org-Activity)
- Object Summary W Org (summarizes based on Org)
- Object Summary W Entity (summarizes by Entity)
The Object Summary has been enhanced to show YTD actuals, June 30 of prior fiscal year balance, and the YTD Variance.
When you drilldown to the transaction detail:
- the transactions are grouped by account string and include the Beginning Balance in the account heading (ties to the June 30 balance on prior screen), and
- the transaction total for the account ties to the YTD Variance (on prior screen)
Grants Funds Available
- PTD Expense added to Summary screens
- From a Grants transaction, you can drilldown on Batch name to view the complete journal entry (similar to journal header drilldowns in GL)
- Added a column for Project Organization – this column is included in the CSV export, and can also be “included” in the dashboard screen view
Grants Expenditure Inquiry
- From a transaction, you can drilldown on Batch name to view the complete journal entry (similar to journal header drilldowns in GL)
- Added a column for Fiscal Year (FY) – this column is included in the CSV export, and can also be “included” in the dashboard screen view
Segment Lookup
Source segment drilldown to OnBase Foundation docs: Individuals without OnBase accounts can now drilldown to source documents from OBI. Documents can be printed or saved to PDF (via print options). This was resolved on 3/17/19.
FARM Approvers (under Lookups tab)
The FARM Approvers dashboard has a prompt for Report Type:
- If you select FARM setup data, the report displays how the information was entered in FARM at the various levels of the organization hierarchy.
- If you select Approvers by Org, the output displays the organizations and approvers in the hierarchy based on the selected prompts.
If you wanted to see who is able to approve BobcatBUY transactions for a specific org, you’d want the Approvers by org report (the dashboard default) and would specify the org # and the Approval Type of Bobcat BUY.
The change to the dashboard was eliminating the setup data from the Approvers by Org report.
Bursar Item Type Dashboards
(Updates to the Dept Coll by Item Type and the Item Type – Student Detail Dashboard tabs)
Dashboard prompts have been updated to allow users to query both GL and Grants data in a single query. The leftmost column of prompts apply to the entire report; Accounting Organization Prompt selects GL data based on ORG segment and Grants data based on the Task Organization value. The remaining three sets of prompts allow the user to refine the selections for either GL or Grants specific data.
Both dashboards have “include” column information to display GL/Grants segment descriptions as columns; the Student Detail dashboard also has columns if you want to display academic program/level/plan information about the students. If you modify your dashboards to display additional columns, you can save the custom view as your dashboard default. (The OBI Navigation course in Blackboard includes instructions on how to use this functionality.)
OBI Tip: Including additional columns on your Dashboard
Both dashboards have “include” column information to display GL/Grants segment descriptions as columns; the Student Detail dashboard also has columns if you want to display academic program/level/plan information about the students. If you modify your dashboards to display additional columns, you can save the custom view as your dashboard default.
