Go to
https://ouhcom.my.salesforce.com
and use your OHIO credentials to sign in. Be sure to use OHIO Login at the bottom of the sign in page.
It should default to Preceptors, if not, go to the waffle in the top left corner and select Preceptors.
On the far-right hand side, select “OFLA Services”
Creating Records
Click on “New” in the top right-hand corner to create a new record
Complete the information and click Save. You can always go back to the record and click Edit in the top right corner to update the record.
The record you just created should appear.
Connecting Contacts to the Service record
On the right-hand side is where you will connect the activities to the existing Preceptors. Select New for each Preceptor for that service.
This will pull up both Faculty and Preceptor contact records so you may need to click on “Show all results for….”
Use the “Contact Record Type” to select the right one. Once you select the name it will connect the record
Be sure to save the record once the contact is connected
You’ll then notice the contact on the right side of the service record
From here, you can use the Top right drop down menu to connect additional people
If you need to delete a person associated with a service, use the drop down menu on their record and select delete.
Viewing OFLA Services from the Contact
From the Preceptor or Faculty Contact record, if you scroll to the bottom, you’ll find a list of associated OFLA Service records
OFLA Services View
When you first go to OFLA Services, the view defaults to the recently viewed. I recommend using the arrow drop down next to it on the left-hand side, select “My OFLA Services” and click the little Pin button to make that view stick. You can always navigate between the view options but this way is more meaningful on a regular basis.
OFLA Services Reporting
To view reporting of OFLA Services, select “Reports” in the top navigation
Go to “All Folders” on the left
Go to “Faculty” folder
Locate the “OFLA Services & Participants” report
This defaults to all OFLA services
You can use the filter icon in the top right corner to change it to “My OFLA services” if you need to export just yours.
If you have additional reporting needs, please email HCOMtech@ohio.edu
Use the drop-down arrow to the right of Edit and select “Export” to export it as a report. Formatted report keeps it grouped as is but you’ll want to delete the junk rows and columns around the data. If you select Details only then it will export in more of a tabular format.
