General instructions for navigating and logging QI Site information, touch points and activities

Overview

QI Hub track data, contacts, and interactions with various sites around the region. This includes QI Site data, Site Contacts, Touch points, tracking of emails and tasks associated.

Login to Salesforce,  https://ouhcom.my.salesforce.com , be sure to select OHIO Login at the bottom. Use your OHIO credentials.

  • In the top left hand corner, go to the waffle icon and select 'HCOM Community Health Programs'

  • Locate the 'QI Site' under the Diabetes Institute section

How to create a new record:

  • To create a new site, select 'New' in the top right hand corner

  • Complete the information and click 'Save'

  • After you've created your site record, it should open up to add additional information such as Contact.

How to edit an existing record:

  • To edit a QI Site record, click on the pencil icon of any field and it will open the form for editing. Be sure to click save at the bottom once all changes have been completed. If there is not a pencil icon present, then it is likely a formula field that is systematically updated.

Creating a Contact

How to create a new contact record:

  • From the QI Site record, scroll down to the section 'QI Site Contact Association', click 'New'

  • Click in the search and select '+ New Contact' to add a new contact record.

  • Be sure to select 'DI Site', then Next

  • Complete the information and click 'Save'

  • Then be sure to click 'Save' on the next screen to connect the newly created contact to the site.

How to edit an existing contact record:

  • From the QI Site record, scroll to the 'QI Site Contact Associations' and select the name of the Contact you want to update.The blue underlined record is a link to the contact record. This will open in another window so your QI Site record will still be open on another tab.
  • Similar to the QI Site, click on any of the pencils to edit and 'Save' at the bottom

  • To add a note on the contact, click on the down arrow next to Notes and select 'New'. A dialog box will appear in the bottom right hand corner to add subject and notes. Click 'Done' when completed.

Adding a Touch point

  • To add a touchpoint, Call, meeting, mailing, etc., click on the down arrow next to QI Site Touch Points and select 'New'.

  • Complete the information, type and date are required, and click 'Save'

  • To view past touch points, under QI Site Touch Points, click on 'View all'

  • This will take you to a list view with more information. Click on the blue, underlined record to open any of the records.

Adding Task

  • To add a task, click on the green checklist item on the right hand side.

  • This will open a dialog box in the bottom right hand corner where you can enter a subject and due date. You'll want to scroll down a little further to update the status and any comments if needed. Then click 'Save'

  • Tasks are then visible in the activity pane to the right, along with emails

Viewing emails track from Outlook

  • Emails logged from Outlook are visible in the activity pane to the right, along with tasks.
