Robert Urofsky Position Announcement – Assistant Director of Accreditation (50%) & Site Visit Coordinator (50%) Council for Accreditation of Counseling & Related Educational Programs (CACREP) The CACREP office is searching for a full-time Assistant Director of Accreditation/Site Visit Coordinator. CACREP is a specialized accrediting agency that accredits master’s and doctoral degree programs in counseling. CACREP is responsible for providing leadership in the development of program preparation standards and administering the accreditation function. CACREP is recognized by the Council on Higher Education Accreditation (CHEA). Position Summary This is a two-level position. Fifty (50) percent of the employee’s position will be spent as an Assistant Director of Accreditation. In this role, the employee’s time will be devoted to managing the accreditation process for assigned programs, conducting high-level analysis of self-study reports, and developing accreditation process recommendations. The other 50% of the position involves managing and coordinating the site visit process for all applicant programs. In both roles, the employee will function as a member of the accreditation team within the CACREP office and will report directly to the Vice President of Accreditation and Training (VPAT). More specifically, the Assistant Director (AD) role involves ensuring that all applications are processed in a timely manner from receipt to the final Board review and decision, providing guidance to programs throughout the review process, ensuring that programs have access to appropriate information concerning due dates, and that accreditation maintenance requirements are met. The Site Visit Coordinator role involves providing leadership in relation to all aspects of the site visit process, including tracking and analyzing data to identify needs and areas for improvement and to make recommendations, and coordinating all aspects of the site visit planning and scheduling processes. This position will also require regular consultation with the VPAT and other ADs concerning accreditation, site visit, and training issues. Major Responsibilities - Accreditation 1. Works with the VPAT to ensure that CACREP’s accreditation process is conducted in accordance with CACREP’s policies and procedures. Manages all aspects of the accreditation process with an appropriate balance of diplomacy, collegiality, and discipline. 2. Consults regularly with the VPAT and other members of the accreditation team concerning accreditation and training issues. 3. Works with the accreditation team to upgrade procedures and record keeping of the various review levels. 4. Provides guidance to programs prior to and throughout the accreditation review. 5. Maintains appropriate records and prepares reports pertaining to reviews, materials, program-related questions, and other information necessary for maintenance and continual improvement of the review process. 6. Works effectively with volunteer reviewers and site visitors to ensure review process functions efficiently. 7. Works with the VPAT and other members of the accreditation team to prepare review materials for the CACREP Board of Directors’ meetings and to develop written correspondence of accreditation decision. 8. Assists in the development of training sessions and materials. 9. Travels occasionally to deliver content relevant to training sessions. Major Responsibilities – Site Visit Coordinator 1. Serves as the manager and coordinator of CACREP’s site visit process and responds to inquiries about site visits and visitors. 2. Works with other members of the accreditation team in the selection of site team members and schedules the on-site visits accordingly. 3. Maintains the annual (fiscal year) list of site visits by name of institutions, dates of visit, and names of site team chairs and visitors. 4. Maintains and analyzes the roster of trained team members and team chairs: regularly updates contact information; regularly reviews existing site visitor resources to ensure adequate numbers and representation across specializations; regularly clears inactive members from the rolls while maintaining archival records; and, maintains and analyzes site visitor records including applications, continuing education, and evaluation results and recommends actions to the VPAT as needed. 5. Ensures the site visit review process functions efficiently through implementing a team visitor evaluation survey that gathers feedback from institutions and other team members after the completion of the visit, analyzing the data, and summarizing the results for discussion and possible action. 6. Develops and coordinates a team member feedback process based on evaluation results. 7. Communicates regularly with the VPAT on site visit questions, data, issues, and needs. 8. Regularly reviews site visitor training and resource materials for accuracy of information and necessary updates, and works with VPAT on developing training support resources. 9. Approves specific site-visit-related charges when extraordinary charges (e.g., car rental, plane tickets) are requested and tracks denials/approvals. Qualifications: The ideal candidate must: possess a graduate degree, with a master’s degree in counseling preferred; have strong analytical skills; have excellent written and oral communication skills; be able to work independently and as a member of a team; be highly organized and detail oriented; be able to prioritize and effectively manage multiple projects and responsibilities; and, have cultural awareness and the ability to adapt easily in a variety of environments. Preferred qualifications include a background in counseling, accreditation, or higher education; knowledge of student learning outcomes in higher education; understanding of multiple training strategies; and technological expertise.
