The COFA business process enables faculty to review and make decisions on portfolios and auditions for the Schools of Art + Design, Dance, Film, Music, and Theater. Faculty are not assigned specific applications but instead use buckets and filtered views for reviews. Each school has a unique workflow:
Art + Design:
Only students with applications on file can submit portfolios.
All submitted applications go to faculty review.
Applications needing additional review are kept in the current bin and assigned a new reader.
Recommendations trigger the application’s move to Decision Ratification.
Dance:
Auditions can be submitted electronically after application submission and require an OHIO ID. Auditions also happen on- and off-campus. Off-campus events are person scoped, and On-campus has both person/application scoped events.
Applications with active submissions are placed in the "Faculty Review" bin.
Applications ready for departmental review are moved to the "Departmental Review" bin, triggering additional review by a single faculty member, who makes a recommendation for Decision Ratification.
Walk-in auditions are reviewed via a special button on the WORKFLOW homepage and directly move to the "Departmental Review (Walk-ins)" bin.
Film:
Only students with applications can submit portfolios.
All submitted portfolios go to faculty review, and additional reviews are handled similarly to Art + Design.
Recommendations advance the application to Decision Ratification.
Special Note: Film can send students to the theater playwriting bin via the Recommendation. This will move the record to theater's workflow. An alert flag will notify the theater reader.
Music:
Auditions may occur via app scoped events (School of Music Audition Template).
There are three bins: “CMDI”, “Music Composition and Music Therapy”, and “All other majors”.
CMDI requires the program director’s review for Departmental Rating.
Music Composition & Music Therapy needs both a faculty rating and a major area interview before moving to Departmental Rating.
All Other Majors allow any faculty member to set the next bin as “Departmental Review” and leave the reader blank except for voice. Voice requires the program director to leave a review.
Faculty reviews are filtered by instrument.
Applications may be assigned to other faculty if someone needs to perform additional review by leaving the application in its current bin and assigning a reader.
Departmental Review is the final step before Decision Ratification.

Theater:
There are 3 bins: “Play Writing and Stage Management”, “Production Design & Technology”, and “Theater, Acting and Musical”.
Play writing and Stage Management applications may submit electronic portfolios and are sent directly to the faculty review stage. Applications may be assigned to other faculty if someone needs to perform additional review by leaving the application in its current bin and assigning a reader. Leaving a recommendation on the review form will send the application to Decision Ratification.Important note: Walk-ins for this program will go directly to decision ratification.
Production Design and Technology applications may submit electronic portfolios and are sent directly to the faculty review stage. Applications may be assigned to other faculty if someone needs to perform additional review by leaving the application in its current bin and assigning a reader. If an application is ready for departmental review, faculty will set the next bin as “Departmental Review” and leave the reader blank.
Theater, Acting, and Musical Theater auditions may be submitted electronically, but only after the point of application submission. Currently requires OHIO ID. Special Note: There is a query for Off Campus auditions on the workflow homepage where no rating and no Submitted Application exists. Faculty can use this to see a full list of records that may have been at a recent event and still don’t have a faculty rating.
The Reader dashboard (home page) includes useful information such as your Enrollment Management contact(s), important links, and an overview of each school's review process. Links for the ad hoc/walk-in review form and queries for off-campus events can be easily accessed from this page. On the right hand side, there are tips and tricks for navigating inside of Reader. To access the workflow, see your bins, and submit student ratings, selectBrowsefrom the left hand side.
Bins streamline the review process as decisions are made and provide visibility as applications move through the Workflow. Each school's bins are grouped based on the school's review process. Details about these processes can be found on the Dashboard. Bins in the "Faculty Review" column are for the initial review completed by faculty members who initially evaluate a student. Bins in the "Departmental Review" column are for the review completed by the designed departmental reviewer for each school. (Note: Departmental Review is only used by School of Dance, School of Music and select School of Theater majors.)
To view a specific application, select the green paper icon on the far right.
The left hand navigation allows users to view the student's materials. Within this navigation, the "Review Forms" tab contains a history of comments submitted inside of the workflow.
To take action on an application or send to another bin, selectAdd to Queuein the lower left. (Note: Once selected, you will see a pop-up, asking you to cofirm that you want to add this application to your queue.)
To send to a different bin, selectReview Form / Send to Binin the lower right. The record needs to be added to a user's queue for this form to display.
Instructions for moving applications will appear on the review form itself.
Some schools may require the ability to filter by more specific criteria, such as instrument. From inside the bin, you can filter your view using thefilter iconon the far right.
To filter:
Select thefilter icon.
Use the drop-down menu to select from a variety of pre-defined views. Selecting one of the views will automatically filter your list to that view.
*Important Note: The filter you select will apply across all of the Reader bins. It is important to select "Reset View" to set it back to the default view to see all applicants if you move to another bin.
